Copilot Dictation Not Working? How to Fix the Mic in Copilot, Word and Outlook (2026)

Copilot dictation not working banner: a blocked microphone in a chat prompt box beside a finished email written by voice with Genie 007

Copilot dictation not working usually traces back to one of four causes: the microphone is blocked in your browser or in Windows, you are using a version of Copilot without a dictation button, your organisation has restricted Copilot, or you are speaking an unsupported language. Fix the microphone permission first, then check which Copilot you have.

Quick fix:

  1. Select the microphone labelled Start dictation in the Copilot prompt box, not the voice chat button.
  2. Click the lock icon in the browser address bar and set Microphone to Allow.
  3. On Windows, allow your browser or the Copilot app in Settings > Privacy & security > Microphone.
  4. Choose the right microphone in Settings > System > Sound > Input.
  5. No microphone in the box? Click into it, press Windows logo key + H and speak.

Copilot dictation not working? Check which Copilot you have

Copilot is several products with different voice controls. Microsoft lists dictation, where speech appears as editable text in the prompt box, for work or school accounts. With a personal account, the microphone starts Copilot Voice, a spoken conversation that is easy to mistake for broken dictation.

Where you areAccountWhat the microphone does
Copilot Chat on the web or the Copilot desktop appWork or schoolStart dictation types into the box
Copilot app or copilot.comPersonalStarts Copilot Voice, not dictation
Draft with Copilot in Word or OutlookEitherNo microphone in Microsoft’s help
Copilot voice chatWork, no Copilot licenceNot available, per Microsoft’s FAQ

Voice features also depend on your subscription and region, so a colleague may see a microphone you do not. Microsoft’s guide to dictating messages to Microsoft 365 Copilot Chat shows the exact buttons. Our walkthrough of Microsoft Copilot voice prompts covers how it behaves once working.

Your admin has switched Copilot or voice off

Copilot dictation not working on a work laptop is often a policy, not a fault. Microsoft’s voice features FAQ says there is no feature-specific admin toggle for voice features, so a missing microphone is usually a side effect of wider settings:

What you seeLikely cause
No Copilot in your appsCopilot Chat blocked for your group, or not pinned in Microsoft 365 apps
Browser never asks for the micEdge policy Allow or block audio capture, or managed Chrome settings
Windows mic switches greyed outMicrophone privacy set by policy
Copilot features gone in Word or OutlookOffice policy Allow the use of connected experiences in Office turned off

Do not work around these on a managed device. Send IT a screenshot showing where you expected the microphone. It is usually a quick change for them.

Copilot microphone not working: fix the permissions

If Start dictation does nothing, or Copilot shows a No Microphone Permissions dialog, the browser or the operating system is blocking the mic. Microsoft’s page on microphone issues in Microsoft 365 for the web covers that dialog. Check each layer:

WhereSetting
EdgeLock icon in the address bar, Microphone set to Allow
ChromeSettings > Privacy and security > Site settings > Microphone
Windows 11Settings > Privacy & security > Microphone: Microphone access, Let apps access your microphone and Let desktop apps access your microphone on
MacSystem Settings > Privacy & Security > Microphone
Input deviceSettings > System > Sound > Input, then Start test

Then close Teams, Zoom or anything else holding the microphone, reload Copilot, and check your headset’s mute switch. Copilot voice not working on a personal account? The same permissions apply, and Copilot Voice needs an internet connection. Microsoft notes voice sessions can end after a short spell of inactivity or when the service is busy, so a dropped call is not always a fault.

Copilot dictation not working in Word

Word has three places where voice comes in, and they behave differently:

  • The Copilot pane is Copilot Chat inside Word, so if your account has dictation, look for Start dictation in its prompt box.
  • Draft with Copilot opens with Alt+I on a blank line. Microsoft’s help mentions no microphone here, so click in and press Windows logo key + H.
  • Dictate on the Home tab is Word’s own dictation. It types into the document, not into Copilot.

If Dictate itself fails, the usual culprits are a read-only document, no active Microsoft 365 subscription, or another app holding the mic; our guide on how to dictate in Word walks through each fix. A good workaround: dictate a rough paragraph, select it, press Alt+I and choose Rewrite with Copilot.

Copilot dictation in Outlook: missing mic or missing Copilot

People who search for copilot dictation outlook missing usually hit one of three problems:

  1. Classic Outlook lost its Copilot buttons. Microsoft lists a known issue with Copilot buttons missing in classic Outlook from build 20026.20182. The workaround is new Outlook or Outlook on the web.
  2. Draft with Copilot will not work in a plain-text email. In new Outlook, switch to HTML under Settings > Mail > Compose.
  3. The Draft with Copilot box has no microphone. Press Windows logo key + H in the box, or dictate the body with Message > Dictate in new Outlook or Outlook on the web.

On phones, use the microphone on Gboard or the iPhone keyboard. Our voice typing guide for Outlook covers each version.

Wrong words or the wrong language

Copilot dictation not working in one language but fine in another points to a language mismatch. Copilot only answers prompts in its supported languages for Microsoft 365 Copilot, including English (United Kingdom) and English (United States). You can get an unsupported-language message even when Copilot’s menus are in your language.

ToolListens forHow to change it
Hey CopilotEnglish onlySay the wake phrase in English, then switch
Word and Outlook DictateThe document languageDictate’s language options
Windows voice typingYour Windows input languageWindows logo key + Spacebar

If the language is right but the words are wrong, try a quieter room, a headset microphone and a steady connection.

Still not working

  1. Update Microsoft 365 with File > Account > Update Options > Update Now, and update the Copilot app from the Microsoft Store.
  2. Repair the Copilot app: Settings > Apps > Installed apps, the More icon, Advanced options > Repair. Use Reset only if Repair fails.
  3. Run the troubleshooter in Settings > System > Sound > Advanced under Input devices.
  4. Try Copilot on the web in another browser to see whether the app or your account is at fault.

Copilot dictation not working after all that? Report it through Copilot’s feedback option, and give IT your app version and Windows build.

A fallback that works anywhere

System dictation types into any text box, including every Copilot prompt and the Copilot pane in Excel, so it is the dependable answer to Copilot dictation not working. On Windows, press Windows logo key + H (it needs internet). On a Mac, turn on System Settings > Keyboard > Dictation and use the shortcut shown there.

The limit is that plain dictation only types what you say, word by word. Genie 007 goes further. Voice typing mode adds punctuation automatically, so you never say “comma”. Genie Mode takes an instruction and delivers finished text in your tone, inside Outlook, Gmail, Slack or the Copilot box.

Say: “Reply to Dan, thanks for the Q3 figures, can’t do Thursday, offer Friday at ten.” You get: “Hi Dan, thanks for the Q3 figures. Thursday doesn’t work for me, but could we meet on Friday at 10am instead?” That is think-to-text: it does your work, not your words. Private by design, nothing is stored.

Frequently Asked Questions

Why is Copilot dictation not working?

Copilot dictation not working is usually caused by a blocked microphone in your browser or Windows, using a Copilot version that has no dictation button, such as Copilot with a personal account, a policy set by your organisation, or speaking a language Copilot does not support, so fix the microphone permission first.

Why don’t I see the microphone in Copilot?

You may not see the microphone because Microsoft lists dictation in the Copilot prompt box for work or school accounts, the Draft with Copilot boxes in Word and Outlook have no microphone in Microsoft’s help, your organisation may have restricted Copilot, or the feature has not reached your subscription or region.

Does Copilot dictation need a Copilot licence?

Microsoft lists dictation in the Copilot prompt box as a feature for work or school accounts and says voice features need an eligible subscription, but it does not tie dictation specifically to the paid Microsoft 365 Copilot licence, while voice chat is not available to users without one, so ask IT if unsure.

Can I dictate to Copilot in Excel?

Microsoft’s Dictate help covers Word, Outlook, PowerPoint and OneNote but not Excel, so the reliable way to dictate a Copilot prompt in Excel is to click into the Copilot box and press Windows logo key plus H on Windows, or use your Dictation shortcut on a Mac.

Why is Hey Copilot not working?

Hey Copilot only works when the Copilot app on Windows is running, the PC is on, not locked and online, the Listen for Hey Copilot setting is switched on in the app, and you say the wake phrase in English, the only language Microsoft supports for it.
